Ecologic is expanding its smart-energy systems across schools and commercial buildings throughout New Zealand, and we’re looking for a capable Executive Assistant / Operations Coordinator to help support project delivery and day-to-day operations.
This is a key role working closely with the directors and technical team to keep projects organised, equipment flowing, and systems running smoothly.
The role is ideal for someone experienced and proactive who enjoys variety, responsibility, and flexible hours that fit around school schedules.
About the role
You’ll help coordinate projects, suppliers, documentation, and internal systems across a growing portfolio of smart-energy installations.
Responsibilities include:
Project coordination

Supporting rollout of monitoring and control systems across schools

Tracking installation progress
-
Coordinating with electricians and contractors
-
Maintaining project records and documentation
Equipment ordering & logistics
-
Ordering hardware from suppliers
-
Tracking deliveries and site allocations
-
Supporting inventory tracking
-
Assisting with installation scheduling
Odoo system coordination
-
Maintaining CRM and project workflows
-
Supporting quoting and job tracking
-
Organising structured project information
-
Helping improve internal processes as we scale
Documentation & reporting

Preparing formatted project documents
-
Supporting proposals and presentations
-
Organising shared folders and knowledge resources

Assisting with internal documentation
Executive support

Supporting directors with coordination tasks

Following up actions from meetings

Helping keep projects moving forward

About you

We’re looking for someone who is:

Bonus (but not essential):
⭐ Experience with Odoo, CRM, or ERP platforms
⭐ Experience supporting engineering, construction, or technical projects
⭐ Interest in sustainability or energy systems
⭐ Marketing or documentation skills
